Hand over your payroll: the Business Centrum team in Ghent

For employers who want to switch

Hand over your payroll: from doing it yourself or your accountant to Business Centrum

When you hand over your payroll, someone else calculates your wages every month and files the returns, while you remain responsible as the employer. Business Centrum takes it over, whether you do it yourself now, your accountant handles it alongside the books or you come from another social secretariat. You get a fixed contact in Ghent, with Acerta as the recognised social secretariat.

Where you come from shapes the switch

Employers who hand over their payroll usually come from one of these situations:

  1. You did it yourself

If you had no service provider yet, the affiliation with the NSSO can be backdated without limit. We first go through what has already been filed, so your file is complete.

  2. Your accountant did it alongside the books

If your accountant files your returns, he does so with the NSSO under a mandate, just like a social secretariat. A new service provider takes over on the first day of a quarter and can still arrange that up to 1 month after that day. Your accountant keeps doing your books.

  3. You come from another social secretariat

Then the switch runs through terminating your contract and a new mandate. Step by step in the guide to changing social secretariat.

What Business Centrum takes over in the switch

You decide when, we do the work:

  • Your employees' data, contracts, pay scales and running reductions
  • The affiliation with Acerta, on the first day of a quarter
  • Monthly [payroll](/diensten/loonadministratie/): wage calculation, payslip and payment overview
  • The Dimona for every start and every leaver
  • The quarterly return and the tax forms, via Acerta

What is left for you

You pass on the hours worked and pay the wages. Your accountant keeps doing your books; we send him the payroll data he needs.

Business Centrum is a payroll and HR office and your fixed contact in Ghent. Returns to the NSSO go through Acerta, a recognised social secretariat.

Why employers hand over their payroll

The work itself is rarely the problem. The consequences of a mistake are:

  1. A late return costs money

If the quarterly return does not reach the NSSO on time, a flat-rate penalty follows, starting at € 495.79.

  2. Mistakes stay open for a long time

The NSSO can reclaim contributions up to 3 years back, and you can reclaim overpaid contributions for the same period. An underpaid wage can be claimed by your employee up to 5 years after the facts, and no later than a year after the contract ends.

  3. You remain responsible

Even when you hand it over, the NSSO addresses you as the employer. So choose someone who knows your file. In 2025, 83% of employers were affiliated with a recognised social secretariat.

How the switch works

  1. Get acquainted

A conversation about how your payroll runs today: yourself, through your accountant or through another secretariat.

  2. Switch

We agree the start date with you, set up your file with Acerta and take over your employees' data.

  3. Every month

You pass on the hours worked, we do the wages and the returns.

Hand over your payroll: frequently asked questions

Can I switch at any time?

A new service provider takes over on the first day of a quarter. Up to 1 month after that day, the mandate can still start for the current quarter. If you have a contract with a social secretariat, also check the notice period in it.

Can my accountant keep working alongside Business Centrum?

Yes. He does your books and taxes, we do the staff work. We send him the payroll data he needs.

What does it cost to hand over your payroll?

Business Centrum does not publish rates: you get a tailored quote. What drives the price is in [the guide to the costs of a social secretariat](/gids/kosten-sociaal-secretariaat/).

Do I have to hand over my payroll?

No. You may do it all yourself, [see why](/vraag/sociaal-secretariaat-verplicht/). You then remain responsible for every return.
