Student job payroll: a Business Centrum case manager at work in the Ghent office

For employers with student workers

Student job payroll: from contract to wages

Student job payroll means drafting the student contract, filing the Dimona STU and tracking how many of the 650 hours per calendar year a student has already worked. Business Centrum takes that off your hands, together with the wages and the solidarity contribution. You schedule the student, we do the rest.

What a student worker asks of you as an employer

A student costs less than a regular employee, as long as the rules are followed:

The full status of the student worker, including his wages, is explained on students as employees.

  1. A student employment contract

You sign a student employment contract with every student. You must also be able to show that he is a student, for example with a certificate of enrolment from his school.

  2. A Dimona STU with planned hours

Before the first working day, you declare the student per quarter with a Dimona STU and the number of hours you plan. How that works is explained under the Dimona for a student.

  3. The hour quota

Within 650 hours per calendar year, you pay a solidarity contribution of 5.42% and the student 2.71%, instead of the regular contributions. Those hours count across all his employers together. What happens at the limit is explained under a student's hour quota.

  4. No Dimona means a fine

If a student works without a Dimona, you risk an administrative fine of € 3,000 to € 35,000, per student.

What Business Centrum takes over for you

This is what we take over:

  • Drafting the student employment contract
  • Checking the remaining quota of every new student
  • Every Dimona STU per quarter, with the planned hours
  • The student wage under your joint committee and the solidarity contribution
  • The returns and contributions, through Acerta
  • A heads-up when a student nears his limit

What is left for you

You tell us which student works when. We call you if something does not add up.

Business Centrum is a payroll and HR office and your fixed contact in Ghent. Returns to the NSSO go through Acerta, a recognised social secretariat.

Students alongside your permanent team

Few employers use only students. We process them in the same payroll run as everyone else:

  1. With flexi-jobbers

If you also use flexi-jobbers, other rules and another Dimona apply to them. See our flexi-job payroll.

  2. In hospitality

Students, flexi-jobbers and casual workers in one business under JC 302: for that whole picture there is payroll for restaurants.

How to start with Business Centrum

  1. Get acquainted

A conversation: which sector are you in, how many students do you use and in which periods?

  2. Start

We set up your file with Acerta, check your students and draft the contracts. We also handle the switch.

  3. Every quarter

You schedule, we do the Dimonas and the wages.

Student job payroll: frequently asked questions

Do I need a social secretariat for a student worker?

No, you may file the Dimona and the returns yourself. A student does have his own rules on contract, hours and contributions, and his counter runs across all his employers.

How do I know how many hours a student has left?

The student creates a certificate with his remaining hours in student@work. With the access code on that certificate, you check the quota yourself. We do that for every new student.

What if a student goes over his 650 hours?

From then on, you and the student pay the regular social security contributions instead of the solidarity contribution. We see it coming and tell you before you schedule further.

Can I hire the same student again every year?

Yes, as long as there is a real break between the contracts. If he works for you for more than 12 months without a break, a student contract is no longer possible.
